ABOUT THIS ROLE
Audible is currently seeking an Executive Assistant (EA) for our Chief People Officer. The Senior Executive Assistant to the Chief People Officer will handle day-to-day duties that can include juggling tasks/meeting conflicts, e-mail and calendaring, event management, as well as leading the execution on ad hoc projects while maintaining high confidentiality. They will have a demonstrated connection to Audible’s People Principles, a commitment to Audible’s product and social mission, and an understanding of the Chief People Officer’s key priorities while being proactive to ensure that the Chief People Officer makes the most effective use of their time and resources. The Senior Executive Assistant to the Chief People Officer will build trust and confidence and demonstrate sound judgement in their work.

ABOUT YOU
You have a mix of C-Level administration support experience, the ability to escalate priorities and influence others, and the problem-solving and project management skills required to manage the various business and personal matters for the Chief People Officer. You have strong knowledge and technical proficiency in Microsoft Outlook, PowerPoint, Word and Excel, along with familiarity of videoconference platforms and messaging applications. You have experience executing travel logistics and you anticipate, influence and demonstrate care and attention to detail of every task and project, which includes proactively identifying and creating day-to-day efficiencies. You’re a resourceful problem-solver who will escalate matters with sound judgment, influence and persistence.

You have the ability to read an audience and anticipate a situation, while being nimble, to set up your executive for success. You are naturally curious, inquisitive with deep research capabilities, and able to work with confidential information with professionalism. You’re self-motivated, highly organized, and able to manage multiple projects. You are able to adapt frequently to adjusting schedules and are able to back-up other Executive Assistants as needed. You are confident and have the ability to influence others – including peers – to create internal and external networks in your executive’s favor. You align with Audible’s People Principles and thrive in environments with high levels of ambiguity and urgency.

As a Senior Executive Assistant to the Chief People Officer, you will...
  • Handle business scheduling and calendar management
  • Strategically manage business travel plans, reservations and logistics including liaising with all travelers for special needs
  • Listen in on key meetings, take notes, and manage follow-up with an understanding of the content discussed
  • Coordinate with other EAs to setup meetings with Amazon and Audible executives, including the preparation of confidential meeting notes and related documents
  • Triage and do basic troubleshooting for hardware and software issues (e.g. e-mail issues with iPhone, MS Word printing problems, etc.)
  • Help to assist with HR projects and events at headquarters and other hubs with People and Places as needed

BASIC QUALIFICATIONS

  • 10+ years of experience providing support for senior level executives or 5+ years Amazon experience
  • 8+ years of experience as an Executive Assistant
  • Experience with c-level executive calendar management
  • Experience with domestic and/or international travel coordination
  • Strong experience with Microsoft Outlook, PowerPoint, Word, and Excel
  • High School or equivalent diploma

PREFERRED QUALIFICATIONS

  • Bachelor’s Degree
  • Experience as both a Personal Assistant and an Executive Assistant
  • Previous experience in high growth companies
