ABOUT THIS ROLE
The Executive Assistant (EA) to the Head of International is an exciting opportunity to work closely with a senior leader of a leading producer and provider of audio storytelling and spoken-word entertainment. This is your chance to be an instrumental member of the team who will be relied upon for optimization of the Head of International’s time and will help ensure that the Head of International is the most efficient leader possible.

ABOUT YOU
You have the attributes to gain a deep understanding of the organization’s vision, goals, priorities, and who’s who, and you will have the appropriate context to guide decisions around prioritization of the Head of International’s time and requirements for meetings. You are a masterful problem-solver with foresight and nimbleness to anticipate and understand the intra-day issues that may arise and disrupt the schedule. You have high judgement to prioritize and quickly adjust meetings accordingly. You operate with considerable autonomy, use extreme discretion, and work well with little direction once objectives and tasks are agreed upon.

As Executive Assistant to the Head of International, you will…
· Be responsible for extensive calendar management of all kinds.
· Ensure the Head of International has appropriate materials and has time scheduled to be prepared for meetings.
· Organize and orchestrate team meetings and other group events ensuring the “right people are in the room” and coordinate documents for meetings.
· Plan appropriate reading and writing time, breaks, meals and sustenance during the course of the business day.
· Prepare expense reports and other tracking reports as needed.
· Manage every day and global travel arrangements some of which can be quite complex. This includes meeting set ups between Newark and NYC, travel arrangements, lodging, meals, expense reports, etc. and ensuring the most efficient ways to get from one place to another with detailed directions.
· Assure all AV/VC and computer needs are appropriately planned for in all locations where the Head of International is working.
· Be agile with the ability to accommodate working irregular hours as needed beyond 9am-5pm and quickly adjust to a fast paced, ever changing environment.
· Take swift action, be highly responsive, and digitally savvy.
· Anticipate needs and stays ahead of items that need attention throughout the day.
· Have incredibly high attention to detail.
· Adhere to strict confidentiality standards.

BASIC QUALIFICATIONS

· Bachelor’s degree.
· 8+ years of work experience either supporting a senior leader or administratively running a business.
· Highly proficient in Microsoft Office – Excel, Word, PowerPoint, Contacts, etc.

· Proven project management skills.
· Experience using Workday.
· Experience working on International teams.
· Research capabilities.
· Thrives in fast paced environment.
· Demonstrates strong work ethic.
· Strong verbal and written communication skills.
· Attention to detail and highly organized.
